2009 Annual Conference Displays
March 2009
To: Annual Conference Participants desiring space and accommodations for displays, programs, and/or events
From: Conference Communications Commission
Greetings in the name of our Lord and Savior, Jesus Christ. The Annual Conference Sessions Team is busy preparing for the 2009 “Reach In” Annual Conference to be held again this year on the campus of the University of Maryland-Eastern Shore in Princess Anne, Maryland.
This year’s conference will be held June 11-13. Annual Conference provides the opportunity for your Board, Commission, Team, Agency and/or Task Force to tell your story of ministry and mission. There will once again be an opportunity for you to have a display table in the Student Center.
This year the displays will be handled by the Communications Commission. Your forms and questions should all be directed to the Commission Chair, Rev. Dr. Richard Vance. His contact information can be found on this letter and on the display request form that accompanies this letter.
As in the past, the tables are on a first come, first served basis so please let the Commission know by sending your form to arrive no later than Thursday, April 30th. Space limitations continue to warrant this deadline.
Security during the day continues to be light so use of electronic equipment and other materials that may be left unattended is at your own risk. On the attached request form please be sure to indicate if electricity is needed (please note that power strips and extension chords must be provided by you). Please note that all requests for electrical outlets, to be placed next to another group/agency and wall space will be accommodated if at all possible.
All participants will be responsible for the set up of your table(s) as well as breaking them down. The person designated on the attached request form will receive communication from the Commission at least two weeks prior to Annual Conference indicating the time that the tables will be ready on Wednesday as well as the time on Saturday when all materials should be removed from your display area. Any material not removed by the designated time is subject to be thrown away by the Student Center custodial staff.
Please fill out and return the request form no later than Thursday, April 30th to Rev. Dr. Richard Vance, Communications Commission Chair, c/o First UMC, P.O. Box 227, Chestertown, MD, 21621, or e-mailed to revvance@verizon.net. Please include - attn: Display Requests. Please direct any questions to Rev. Vance at 410-778-2977.
